To ensure the success of a special event, please consider all fees and costs associated with event planning:

  • Facility Rentals - there is a cost to rent a facility or space - City of Vernon Manual FEES and CHARGES schedule Bylaw6043 for details.  Click on document to see 2026 fees and charges.  Each facility or park is categorized.
  • Additional fees including (but not limited to) equipment, staffing administration and contractor fees will be included in the contract. Check the 2026 event expense price list for details.
    • Facility rental fees and additional costs will be included on the rental contact. 
    • Once the application form is approved, a rental contract (with terms and conditions) will be issued by email from the Recreation Events Coordinator.
    • The Rental Contract and Facility Use Permit (FUP) must be signed and emailed to events@vernon.ca
    • At time of booking (when contract is issued) a 20% deposit is due (non-refundable)
    • 30 days in advance of the event, the final balance is due
    • 20% deposit payment is non-refundable payment that is due when the rental contract is issued to the applicant
    • Remaining balance is due 30 days prior to the event
    • Failure to pay may result in the event being cancelled by the City of Vernon with no recourse for refund on the deposit
  • A damage deposit is required to cover various area of potential damage or loss such as park site, lost equipment, etc. 

    • For indoor or outdoor events – A damage deposit up to $2500.00 will be required for events
    • The City of Vernon reserves the right to assess and assign a higher damage deposit amount for large, high impact events
    • The damage deposit is due prior to the start of the event
    • The damage deposit will be credited back to the event organization, once all cleanup / tear down requirements are completed and there is no damage to the rented space (as approved by staff)
    • All events require insurance.
    • Insurance can be purchased through an insurance company of your choice OR the Recreation Events Coordinator can provide a link to an insurance provider.
    • Please do not purchase insurance until a contract has been issued by a City of Vernon employee (Insurance is non-refundable).
    • A copy of the certificate of insurance must be emailed to events@vernon.ca, a minimum 14 days prior to the event.

    Indoor and Outdoor Events within the City of Vernon - the event organizer must provide $2 million dollars in comprehensive general liability insurance listing the City of Vernon (address listed below) as additional insured. The City of Vernon reserves the right to require $5 million dollars in general liability insurance, depending on the scale of the event. It is the responsibility of the event organizer to ensure that all vendors carry appropriate insurance.

    If renting space at Greater Vernon Athletic Park (GVAP): four entities including The City of Vernon, The Regional District of North Okanagan, The District of Coldstream, and the Okanagan College must be listed as additional insured.
